How we evaluate church management software

Every tool in our reviews has been used hands-on. We don’t rank software based on vendor marketing pages, and we don’t take affiliate commissions for placements. This page documents how we actually evaluate each tool and what role AI plays in writing the reviews you read.

Our testing process

For each tool we review:

  1. We sign up for the lowest tier that has meaningful functionality — a free plan if one exists, otherwise the cheapest paid tier or a demo-call trial.
  2. We populate a test “church” with synthetic but realistic data — ~100 households, attendance for a quarter, a recurring giving setup, a kids-check-in event, and a volunteer team.
  3. We use the tool for at least a week of real-feeling usage. We capture findings as typed notes, screen recordings, and screenshots.
  4. We score each tool against the same criteria (below), and write up the review from the raw notes.
  5. We re-check tools quarterly. The last reviewed date on every page is when the review was last refreshed against the current version of the tool.

Our role and AI’s role

Testing is hands-on. Writing is AI-assisted from raw notes. AI helps turn messy testing notes into structured prose. AI does not decide which tools make the list, or how they rank.

We could pretend we don’t use AI. Plenty of comparison sites do. We think that’s a lie that both readers and Google would eventually notice, and the honest framing is the stronger position.

What we score

Every tool is scored on the same six criteria. We weight them evenly. The single overall score on each review page is the average, rounded to one decimal place.

Pricing transparency

We treat hidden, sales-call-only pricing as a real signal about a vendor's target market — and a real cost to a church that has to sit through 30 minutes to find out a tool starts at $400/month. Tools that publish pricing publicly score higher.

Total cost of ownership

Sticker price is rarely the real price. We add transaction fees on giving, per-user fees, premium-tier feature gates, and integration add-ons to get the actual monthly cost a church will pay.

Volunteer-first UX

Most users of this software are church volunteers, not full-time admins. A tool that takes 4 hours to train a volunteer to run kids check-in scores worse than one that takes 10 minutes — even if the first tool has more features.

Migration & data portability

Can a church move OFF this tool if they want to? We check whether each tool offers CSV export of members, giving history, and attendance. Lock-in is a real risk and we count it against tools that have it.

Real support

We email each vendor's support and time the response. We read recent third-party reviews about support quality. We mark tools that have replaced human support with chatbots.

Mobile experience for end users

Givers, volunteers, and members mostly interact with these tools on their phones. We test the giving flow, the volunteer-scheduling app, and the member-directory experience on a real phone, not just a desktop preview.

What we don’t do

  • We don’t take affiliate commissions. The rankings are not pay-to-play. The waitlist for Wisefig, our own future product, is the only commercial thing on this site — and we never rank Wisefig in the reviews because the product isn’t built yet.
  • We don’t accept sponsored reviews. Vendors can email us with corrections; they cannot pay for placements.
  • We don’t hide negative findings.If a tool has hidden pricing, opaque transaction fees, or weak support, the review says so — even when we like the rest of the product.

Corrections

If you’re a vendor and we’ve gotten something wrong (a feature that’s changed, a pricing tier that’s been retired), email [email protected]with a citation and we’ll fix it. Same goes for readers who spot outdated information — quarterly re-checks catch most of it, but we’ll always update faster if you tell us.
